Budgeting has a lot to do with “Needs”. Identify your needs correctly. In an organisation’s case correct idea of business direction/vision is extremely important to identify the needs.

Budgets are of two types capital and operational budgets now let us consider capital or project budgets the major problems are of three types 1)contingency 2)time overrun 3)cost overruns.Consider a housing project- rural affordable housing, budgeted to execute within predetermined time lines.Contingency can refer to a situation where unexpected rains flooded the region resulting in execution delay ie time overrun and in order to complete the project within original promised timelines, need to employ additional resources that can result in cost overrun.

I believe that sharing real life examples especially a occasion from which you learned will always bring in uniqueness to what you share on the budgeting experience. Example while budgeting for a stint where I was heading business planning for a large telecom conglomerate; I realised quickly that I need to understand the technology behind how telecom operators work and how the best capex planning is at the hear of the business plan for telecom expansion . I had to sit with the CTO for a week and understand the intricacies before I could translate them into financial numbers , but having done that , we were able to reallocate resources and spare capacity within different circles including liquidation of some obsolete costs .

In 2003 working for a security guard agency I implemented cross-training with three accounts. Each account worked to build their own bullpen of people to help fill shifts. However cross-training with the 3 malls means;i) saving time for the scheduling department as the shifts were filled without their assistance ii) this reduced unbillable hours in the form of overtime to train the replacement staff (1-2 hours)iii) minimized the risk to the client as this individual worked on the site more than once iiii) the guard will be given priority first open shifts or special coverage, creating the opportunity to earn more money

Delivery of most crucial tasks on time is the core principal for my budgeting experience! First prioritizing tasks on basis of importance and feasibility, second by identifying quantifiable cost/benefit ratio and third by understanding own capabilities to bear out any cost/risks incurred. So basically an "Action & Delivery Oriented" cost-effective approach is the matra.

Budgeting is always construed as Budgeting of your P&L, however now in the current era of record high interest cost the most important thing is cash flow Budgeting. And on P&L this is the year to focus more on Zero based Budgeting instead of incremental budgets.

For formulating annual budget we need updated strategy and respective (strategic) action plan of the company. Strategy should tell us top-level indicators such as annual revenue, required investments, main changes, etc. Then we break down those top-level indicators to reach specific budget items such as expenses, sales amount of each product, cost of goods sold, EBITDA, net profit, financing need, etc.

Some important points are1. Chalk out the priorities2. Time line to achieve the Goal3. Cash in Hand and future need for that Goal4. Emergency Fund availability
