Project success is not only measured by delivering the expected results on time and within budget, but also by satisfying the needs and expectations of the stakeholders, aligning with the strategic goals of the organization, and creating value and benefits for the end users. However, achieving project success is not easy, as it requires careful planning, execution, monitoring, and control of various elements that affect the project performance and outcome. 1 Project scope
The project scope defines what the project will deliver and what it will not deliver. It is the basis for the project plan, schedule, budget, quality, and risk management. A clear and realistic project scope helps to avoid scope creep, which is the uncontrolled change or expansion of the project scope that can lead to delays, cost overruns, and quality issues. As a project coordinator, you should work with the project manager, the sponsor, and the key stakeholders to define and document the project scope, scope baseline, and scope management plan. You should also monitor and control the project scope throughout the project lifecycle, using tools such as scope statements, work breakdown structures, change requests, and change logs.

The key factors for achieving project success can be summarized as follows:Clarity in Project Objectives:A crucial aspect is the absolute transparency regarding the project's deliverables. Whether outlined in a comprehensive scoping document, a business case, or even a simple sketch, it is imperative that the project team unequivocally understands what they are constructing.A Compelling "Why":Another vital element is having a compelling rationale behind the project. This rationale should make sense to everyone involved, from team members to stakeholders. It serves as the driving force that keeps the team motivated and committed, even during challenging times or when project fatigue sets in, possibly months down the line.

Lots of comments on here, AI this, software this, buffers etc. The single most important thing that will aid Project Success is 'Communication'. If you are unable to communicate your ideas, needs, plans you will fail. When I say communication, I do not mean, text messages, long emails, PowerPoint presentations - you need to be able to be sit around a table with your team and stakeholders and talk. Talk and agree. It is an overlooked competency that people today dismiss. "Did you tell X that Y has happened". Yes I sent an email. Call the person, talk, chat and get some verbal feedback that things are understood. You can graduate with a 1st class masters but if you are unable to communicate effectively you have wasted your time studying.

2 Project communication
The project communication is the exchange of information and feedback among the project team, stakeholders, and other parties involved in the project. It is essential for ensuring that everyone is on the same page, has a common understanding of the project objectives, status, issues, and risks, and can collaborate effectively to achieve the project goals. As a project coordinator, you should support the project manager in developing and implementing the project communication plan, which defines the communication objectives, methods, frequency, roles, and responsibilities. You should also facilitate the project communication activities, such as meetings, reports, updates, and feedback sessions, using tools such as communication matrices, calendars, agendas, minutes, and dashboards.

3 Project resources
The project resources are the people, equipment, materials, and facilities that are needed to complete the project work. They are critical for delivering the project outputs and outcomes within the project constraints. However, managing the project resources can be challenging, as they are often limited, shared, or competing with other projects or operational activities. As a project coordinator, you should assist the project manager in planning and allocating the project resources, based on the project scope, schedule, budget, and quality requirements. You should also track and report the project resource utilization, availability, and performance, using tools such as resource breakdown structures, resource histograms, resource calendars, and resource reports.

Procurement of resources is also a way to demonstrate creativity and innovation. Many times project coordinators struggle when a schedule disruption or budget change occurs. However, these instances should be viewed as opportunities to embrace a new perspective and possibly build relationships with other SMEs. Agility is key - it is also a very underrated trait. Either way, all good project coordinators possess it.

4 Project risks
The project risks are the uncertain events or conditions that can have a positive or negative impact on the project objectives. They can affect the project scope, schedule, budget, quality, or stakeholder satisfaction. Therefore, identifying, analyzing, prioritizing, and mitigating the project risks is crucial for increasing the likelihood of project success and reducing the potential of project failure. As a project coordinator, you should support the project manager in conducting the project risk management process, which includes developing and maintaining the project risk management plan, risk register, risk matrix, and risk response plan. You should also monitor and control the project risks throughout the project lifecycle, using tools such as risk audits, risk reviews, risk reports, and risk logs.

Downplaying of risk is a common feature in cross-functional teams in a matrix or a functional organization. This happens especially when there is a competitive environment among functions the. This may also stem from over-confidence.It is the PM's job to ensure objectivity when a risk management exercise is conducted.

5 Project quality
The project quality is the degree to which the project deliverables and processes meet the requirements and expectations of the stakeholders and the end users. It is an indicator of the project value and benefits, as well as the project efficiency and effectiveness. Improving the project quality can enhance the project performance and outcome, as well as the customer satisfaction and loyalty. As a project coordinator, you should help the project manager in implementing the project quality management process, which involves planning, assuring, and controlling the project quality, based on the project scope, standards, and criteria. You should also perform and document the project quality activities, such as quality checklists, quality audits, quality inspections, quality metrics, and quality reports.

Using AI to maintain project quality is pretty useful. In my experience, equipping monitoring team with AI based tools, software and hardware and helping them get rid of over-documentation is the trick. In a fast-paced project, more time is spent by teams generating reports, inspection documents and metrics however, as soon as u equip them with a self reporting software and apps, they spend more time actually monitoring and quality assurance.

I agree with this. Meeting or exceeding predefined standards and clients expectations. It builds trusts, reduces rework and ultimately leads to successful project outcomes.

6 Project integration
The project integration is the coordination and alignment of all the project elements, such as scope, communication, resources, risks, and quality, to ensure that they are consistent, coherent, and compatible with each other and with the project objectives. It is the overarching function of the project management that integrates the project management processes, knowledge areas, and best practices. It is also the responsibility of the project manager to ensure that the project is integrated with the organizational strategy, culture, and environment. As a project coordinator, you should support the project manager in performing the project integration management process, which includes developing and executing the project charter, project management plan, project work, and project changes. You should also assist the project manager in monitoring and controlling the project integration, using tools such as integrated change control, performance measurement, and lessons learned.

Project success/ impact is determined by how all project elements are in sync, if one element is amiss, it becomes difficult to achieve the intended outcomes of the project, it distorts the meaning of other elements in a particular project. Therefore it is key for project coordinators and managers to ensure that all project elements speak to each other for impactful programming.

An essential point to highlight is that, despite meticulous planning, effective risk management, excellent resource planning, and the best possible preparation by the project manager and team, inevitable challenges and obstacles are bound to arise within the project - it's not a matter of if, but when. Consequently, it is imperative for the project manager to align and bond the team, showcasing compassion, kindness, and understanding. Team members must feel valued within the group. It is through these qualities that the team can more successfully address and overcome the obstacles in navigating unforeseen hurdles and problems that will inevitably surface in the project. Empathy and kindness are often underrated.

An example of aspect usually left out or not considered in the planning and design phase is the "Project Time-buffer". Lots of times, the time-volatility comes into question when something goes wrong. From personal experience, this is one of the aspects I try to emphasize starting with the early planning phase and reinforcing it during the project. This helps a lot with achieving the scope and iteration targets.

I think another aspect that is often overlooked but is critical to project success is teamwork/culture. Not just having meetings but creating a culture where ideas are listened to, people are respected, and team members trust each other. When you can create a culture of teamwork anything can be accomplished even if you don't have A players, the best tools, robust processes, or all the money in the world.
